Executive Coordinator, SCoPEx Advisory Committee

The Executive Coordinator will provide high-level administrative support for an independent Advisory Committee of the Stratospheric Controlled Perturbation Experiment (SCoPEx), a small-scale outdoor experiment to advance understanding of stratospheric aerosols that could be relevant to solar geoengineering.

The Advisory Committee is a multi-member body established to provide advice and guidance to the Vice Provost for Research at Harvard University and the Dean of the Harvard John A. Paulson School of Engineering and Applied Sciences (SEAS), on the research and governance of SCoPEx. The Advisory Committee will establish and implement a framework to assess various aspects of the experimental approach and to establish expectations and norms for transparency and legitimacy in the project.

The Advisory Committee seeks an experienced candidate who is excited to approach a complex environmental challenge through the lens of good governance. The ideal candidate will be able to work independently as well as in a group, with a demonstrated interest in and ability to tackle complex problems with careful consideration, tact, and creativity.

NOTE: This is a one-year term appointment with the possibility of extension.

Duties and Responsibilities:

Project management and administrative support:
Independently responsible for all administrative coordination/logistics that support the work of the Chair and Members of the Advisory Committee. Facilitates the committee’s activities on a day-to-day basis. Designs and implements processes to enable them to successfully carry out their activities. Balances multiple perspectives and integrates different fields of expertise to frame problems and develop solutions. Serves as a primary liaison between the project team and the Advisory Committee.

  • Schedules Advisory Committee meetings – either in-person or by phone/webinar/other online meeting tools.
  • Organizes travel and meeting logistics. Processes reimbursements/expenses.
  • Prepares and distributes agendas and meeting materials.
  • Attends Committee meetings, takes detailed meeting minutes, and distributes to members.
  • Tracks the status of projects/assignments. Follows up with Committee members as needed to ensure that deadlines are met.
  • Identifies and invites additional experts or community members to supplement the Committee’s efforts.
  • Arranges for peer reviews of the proposed research.
  • Develops and maintains a system for file and resources sharing.
  • Develops an approach for regular communication among Committee members.

Assists the Chair and Members of the Advisory Committee with communications to a diverse audience.

  • Drafts and edits a variety of written reports, memos, and materials to be shared internally and externally.
  • Coordinates and consolidates comments and input from Advisory Committee members and external stakeholders.
  • Develops presentation materials.
  • Develops and maintains standards and protocols for communication of the Advisory Committee’s activities.

Research and Strategic Support:
Makes recommendations to the Chair and Members on issues related to committee tasks and strategy.

  • Identifies and contacts external experts to support Advisory Committee work.
  • Gathers and summarizes relevant literature in literature reviews or annotated bibliographies for Advisory Committee members.
  • Develops background information for Committee meetings.

Basic Qualifications

  • Bachelor’s degree plus a minimum of 5 years of related work experience.

Additional Qualifications

  • Master’s Degree in an interdisciplinary, environmental, or public policy related field preferred.
  • Experience working in a non-governmental organization or government entity focusing on issues related to climate change preferred.
  • Prior experience supporting senior level executives preferred.

Other qualifications include:

  • Experience and comfort working on politically sensitive topics that require discretion and tact.
  • Willingness to tackle new challenges and topics that may not have a model or precedent to work from.
  • Strong time management and administrative skills, including attention to detail, timeliness, and organization.
  • Excellent written and oral communication skills.
  • Flexibility and the ability to adapt to shifting priorities, last minute changes, and taking on new responsibilities as needed.
  • Experience coordinating a range of tasks amongst multiple people and groups.
  • Proficient in Microsoft Word, Excel, PowerPoint, shared working platforms, and webinar/virtual meeting platforms.
  • This position may require some flexibility in the regular work schedule to accommodate the needs of the advisory committee, whose locations cross time zones.
  • Occasional travel may be required.
